How do I access online training?

I'm having trouble navigating the online tutorials or registering for a live workshop. Who should I call?

I did the online tutorials. Do I need to come to a live workshop?
It's up to you. The live workshops cover content that is also covered in the online tutorials. You can review the material both ways if you would like to, or you can just use the online resources.

I came to a live workshop. Do I need to do the online tutorials?
The live workshop actually has prerequisites that need to be done online. So, you'll always have something you need to do online. And, there's more content online than is offered in the live workshops. For instance, Employee Self Service (the new Employee Link) tutorials are only available online.

When should I register for my Time Approver and Time Coordinator workshop?
Now! We have a lot of seats open between now and when the software launches at the end of September, but there are a lot of people who need to fit into those workshops. If everyone waits until the last minute, there won't be enough seats available for everyone who wants one.

All the workshops I want are full! What should I do?
Remember that all of the UAccess Employee content is also available online. You can get what you need before the software launches.

And, if you really want to get into a live workshop, you can also "fly standby." Just like a plane, our workshops sometimes have empty seats, even though all the seats were taken in the registration system. Standby means that, even if a workshop shows as full, you can come by, tell the trainer you'd like to fly standby, and put yourself on a list to be let into the workshop. If seats are still open after the workshop start time, the trainer will fill them with folks from the standby list.

That also means that if you are registered for a workshop, and you are late, you will not be admitted. You will need to register for a different section of the workshop.

I'd like to have a workshop scheduled in my department. Can I do that?
Unfortunately, due to the large number of people who need to be trained, we can't offer workshops in every department. However, we have lots of options available for live workshops both on campus and in Sierra Vista and Phoenix. And, the online tutorials are available from anywhere

 

The Workshop and Training Team has scheduled Timesheet sessions for the HR/Employee launch at the end of September. If you visit the UITS Training and Workshops website, you will see that the training team has a week of one-hour sessions scheduled in the Student Union from September 28 - October 2.

These sessions are for everyone who will be filling out the new timesheets. The timesheet sessions are timed to fall in the week when those new timesheets will be ready for completion. There are two different session types for:

  1. Part time/hourly employees
  2. Salaried employees.

The materials will also be available online, so people who can't make those sessions or prefer to review the material on their own will have access to it.

The training team hopes to pair these sessions with a drop-in lab where employees can get help filling out their timesheets if they would like it. More information will be provided as it becomes available.

Hands-on workshops for Time Approvers and Time Coordinators are now available. The workshop schedule is available for viewing on the website and open for registration.

PeopleSoft ­HR Time and Labor Overview

A new time recording system will be introduced as part of the HR system replacement project, which will go live in late September. It will replace the paper based record keeping process and some existing automated systems currently used by a number of campus departments. Some departments will continue to use existing automated systems including, Facilities Management, Student Union, Residence Life, Facilities Design and Construction and the Library. These areas use specialized timekeeping systems that will interface with the new HR system.

The new time recording system is automated and web based. Employees will be able to access the electronic time sheet wherever there is a computer with an internet connection. By being automated, completing a time sheet will be quicker and routing it for processing will be more efficient.

How will you enter time? You will enter time similarly to how you do it today with a few changes.

Employees who are eligible to earn overtime (typically referred to as "nonexempt") are considered "positive time reporters" and will enter their daily hours on-line.

?

Employees who are not eligible for overtime ("exempt") are considered "exception time reporters" and will report only non-work time such as vacation or sick leave hours used. Exempt employees who do not have exception time to report in a pay period will not need to enter the timekeeping system unless a "presence at work" confirmation is required by their department.

One major difference with this new system, besides being automated, is that nonexempt employees (positive time reporters) must enter their time to be paid. If time is not entered for the pay period, pay will not be processed.

In general, positive time reporters include: all students, part-time and full-time nonexempt employees.

Exception time reporters include: graduate students, full-time and part-time faculty, full-time appointed personnel, and full­time exempt classified staff.

Other differences involve changes in roles and responsibilities at the department level for time record review. Once the time sheet is completed by the employee or "time reporter", it will be directed to the "time approver" who may be the supervisor or some other designee.

The time approver reviews the information submitted by the employee and will either approve it or return it to the employee for adjustment. When the time approver has approved the timesheet, a process will run to convert the reported time to payable time.

The department representative, known as the "time coordinator," will review exceptions and facilitate accurate reporting of time within the department.

PeopleSoft Payment Request Overview

The purpose of the HR Payment/Adjustment Request is to replace the current POPR system and Vacation/Sick/Comp Time Form processes.

The new PeopleSoft process will:

Request payments for hours worked which are greater than 28 days old and cannot be reported within time and labor.

?

Request vacation, sick, and comp time leave adjustments greater than 28 days old and cannot be reported within time and labor

?

Request other types of payments (See Appendix G)

 

Departments' business units will have access to create and/or view the payment/adjustment request. Units will provide the appropriate approvals necessary for hours reported and adjustments created. If an individual in the business unit creates a request another person must approve the request.

In addition, other payments will use FRS account authorization structure to authorize the Payment/Adjustment Request and this will translate to the new authorization structure in KFS in January 2010.

Common PeopleSoft Terminology

Workgroup

All employees will be assigned to a workgroup. The workgroup will control what Time Reporting Codes are available to an employee through the timesheet view. An employee's workgroup will indicate if he / she is a positive pay reporter or an exception reporter. The workgroup is mapped from the employees assigned pay group. A table that further describes each pay group is attached as Appendix D.

Employee self service

This is the component of the system where employees will be able to access and edit their own information. All roles that are within the employee self-service component are automatically granted based on the employee's attributes. No action will be required to give an employee access to employee self-service for go live. Employee self-service will be replacing employee link.

Manager self service

This is the component of the system that Managers will use to access information regarding the employee's that they supervise. Access to the manager self-service component must be requested through the department. The components that the PeopleSoft Time and Labor Implementation team will be granting access for are the Time Management and Payment Request screens.

Supervisor and Time Approver Position Filters

Two fields have been defined in the manager self­service time management component. Time Approvers and Time Coordinator are given security access at a department level. To allow a Time Approver or Time Coordinator to search by only the employees that report to them, a field has been added to filter the results based on the reporting structure. For positions with multiple incumbents there can only be one "Supervisor Position" and one "Time Approver Position" assigned.

The "Supervisor Position" field identifies the direct reporting relationship for each position within the organization. The incumbent in a "Supervisor Position" is generally responsible for directing the work, managing performance and approving time for the position listed.

The "Time Approver Position" field identifies the dotted line reporting relationship for a position within the organization. The incumbent in a "Time Approver Position" is generally responsible for approving time for the position listed. This may or may not be the same person listed in the "Supervisor Position."

Security Role Definition  

Any role requiring only access to employee self-service will automatically be assigned through system configuration. For example, each employee will automatically receive the role of a time reporter. The department will not need to request this access. Roles requiring access to manager self-service must be requested and approved by the department.

 The security roles are different tasks performed by campus employees who enter, approve, review, create or modify data in the new time keeping system. The assigned roles are associated with email notifications that will be delivered automatically by the system. For more information regarding system delivered email notifications, please review Appendix E.

PeopleSoft Time and Labor Implementation Plan

The PeopleSoft Time and Labor Security Team has been formed to collect security information from colleges/units as they update their approval structure in preparation for a smooth transition to the PeopleSoft Time and Labor module from Time Roster in PSOS. The Primary Contact will identify an individual within the unit to serve as the Unit Security Lead. College/ units are also encouraged to create implementation teams to guide their unit through implementation, training, go live and support.

Roles and Responsibilities

Collaborate with colleges/units on the preparation for and implementation of the HCM Time and Labor module.

All of the deliverable items will be provided back to the Mosaic Time and Labor team by using the Departmental Security Setup Spreadsheet and the People Security Access form.

Instructions for Departmental Security Setup Spreadsheet

After attending the Time and Labor Security Setup session, the Primary Contact will receive a spreadsheet that contains all of the departments that have been assigned to his/her unit. This spreadsheet will contain both required and optional fields that should be reviewed or completed. This spreadsheet must be completed electronically. Columns L and R through W will be uploaded directly into PeopleSoft. The information in columns M and O through R will be used to create the user profiles with the appropriate access for go­live.

The spreadsheet is divided into four sections: Employee Data, Job Data, Security Access and Reporting structure.

System fields that are provided:

Section 1 – Employee Data

All columns in section 1 are fields reported directly from the PeopleSoft system.  If you make any changes to these fields your security file will not properly upload.  If the information in these columns is not accurate please review your PSOS setup to ensure it is corrected for conversion into PeopleSoft.  If all of the information is correct in PSOS and you believe it was coverted to PeopleSoft incorrectly, please send the rows in error to the Mosaic Time and Labor Team in a separate file with a description of the issue.
A Department ID This is the department number that the employee on this line currently belongs to in PSOS and PeopleSoft.
B Department_Description This is the description of the department that the employee on this row currently belongs to in PSOS and PeopleSoft.
C Empl_id This is the current employee id for the person listed on this row.
D Last_Name This is the last name for the employee listed on this row.
E First_Name This is the first name for the employee listed on this row.
F Middle_Initial This is the middle name for the employee listed on this row.
G Netid_needed If this field is blank no action is required.  If a "Y" appears in this field, the employee listed on this row does not currently have a net id.  In order for this employee to access employee self service in PeopleSoft they will need to sign up for a net id.
H Empl_Rcd This is the employee record number for the employee and position listed on this row.  The primary job instance for an employee is assigned as empl record "0."  If the employee has multiple positions at the University they will receive empl record 1, 2, 3, etc.
I Workgroup This is the workgroup that the employee in this row is assigned to in PeopleSoft.  For further definition on how a workgroup is mapped, please review the Workgoup definition section of this document.
J Positive / Exception This indicates if the employee will be a positive or exception time reporter.

K Position_Nbr This is the position number for the employee on this row reported from PeopleSoft.  The position numbers have a leading "1" added to the current number in PSOS.
L Position_Descr This is the position decription for the employee on this row.
M Optional Position Description The department has the option to load an optional position description into PeopleSoft.  This will be the description that the employee will see when accessing his / her timesheet(s).  This is an optional field.

Section 3 – Security Access

N A= Department Time Approver Access   C= Department Time Coordinator Access Enter "A" if this employee will be acting in a Time Approver role.      Enter “C” if this employee will be acting in a Time Coordinator role.  An employee can have both the Time Approver and the Time Coordinator role if needed.  For a definition of each role please see the Role Definition section of this document.
O     C = Payment Request Create     V = Payment Request View The HR Payment/Adjustment Requests will be used to replace the POPR and vacation/sick adjustment forms system for changes to time entry for already-paid time periods more than 28 days in the past.    Enter "C" if this employee will need the ability to add Payment/Adjustment Requests.    If your employee currently submits requests for these activities, or will need to do so in the future, create access should be granted.    Enter "V" if this employee will need the ability to view already-created Payment Requests, but not create them.   The FRS account structure will be used to assign approval roles for the payment request types where an account number has been added to the request.
P Net id (for time approver and time coordinators only) If in column M it is indicated that this employee will need Time Approver or Time Coordinator access, you will need to provide his / her net id for system setup.
Q Dept Number Access If in column M it is indicated that this employee will need Time Approver or Time Coordinator access, this is where you will indicate the department numbers that they will need to access.  This may or may not be the same as their home department.
R current PSOS - Time Roster Access (Y) There will be a "Y" in this column if the employee on this row has current time roster access in PSOS.  If any employee is given Time Coordinator or Time Approver access to PeopleSoft that does not currently have time roster access, they will be required to complete a security form before access to the system will be granted.  The required form is attached as Appendix H.

Time and Labor Training

The UITS Workshop and Training Team will be offering hands­on, instructor­led training for time approvers and time coordinators starting in mid­August. On­line training for time approvers, time coordinators, and time reporters will be available as of the first week of August. In addition, time reporters will be able to attend live demonstrations and receive assistance using the new system the week of September 28 when the new HR system will be operational. These sessions are currently open for registration at http://workshops.arizona.edu.

1. UA Employee Self Service: This role grants users access to all Employee Self Service pages. Self Service pages provide access to employee Personal, Time Entry, Payroll and Benefits information.

2. Benefits Team Member: This role grants Benefits team members access to view Benefits and Payroll Setup information, update employee Benefits information, initiate Benefits processes, and run Benefits reports.

3. Benefits Power User: This role grants certain Benefits team members access to view Benefits and Payroll setup information, correct (history, current and future rows) some Benefits setup information, update employee Benefits information, initiate Benefits processes, and run Benefits reports.

4. Benefits Super User: This role grants certain Benefits team members permission to correct (history, current and future rows) all Benefits setup and employee Benefits information, view Payroll setup and employee Payroll information, initiate Benefits processes, and run Benefits reports.

15. Time Administrator: This role grants users access to pages required to perform a typical Time Administrator role. This role gives permission to correct Time setup and Time Person information, approve time and run T&L processes.

16. Time Approver: This role grants users access to pages to approve employee Time for specified departments.

17. Time Approver Interface: This role grants users access to run interface programs to upload Time reported in other systems into PeopleSoft.

18. Time Coordinator: This role gives access to view and update all time exceptions and view submitted, approved, denied and payable time.

19. Time View Only: This role gives users view only access to all Time Managing and reporting pages in the Time and Labor module.

20. Workforce Admin Position XRef View: This role grants users permission to view the Position and Job Cross reference page.

21. Workforce Admin Power User: This role grants users correction access to all Workforce Admin setup and Workforce pages.

22. Workforce Admin User: This role grants users view only access to Workforce admin setup pages and update access to all Workforce Admin pages.

23. Workforce Admin View Only User: This role grants users view only access to Workforce Admin setup and Person pages.
